Can an agent do?

Can an agent handle refunds and returns?

MOSTLYAgent does it, you sign off

Mostly, inside limits you set. An agent applies your returns policy consistently, generates labels, tracks the parcel and issues the refund. Above a value threshold or outside policy, a person should decide.

Step by step

A job is never one task. Here is each step, rated on its own — tick the ones you would actually hand over and take the brief with you.

StepHand over?
  • Check eligibility

    YES

Against policy, order date and condition, with the reason quoted back.

  • Generate the return

    YES

Label, RMA, instructions, expectations set about timing.

  • Track and confirm receipt

    YES

Chases the carrier and the warehouse without being asked.

  • Issue the refund

    MOSTLY

Fine under a cap. Money leaving needs a ceiling that a person set.

  • Goodwill outside policy

    HALF

It can propose. Whether this customer is worth a yes is a judgement about the relationship.

  • Spot return fraud

    HALF

It sees the pattern. Accusing a customer is not an automated act.

3/6 steps selected. Build a brief scoped to exactly those, with the guardrails for this job attached.

What still needs you

  • Goodwill decisions
  • Fraud accusations
  • High-value refunds
  • Any customer already unhappy

How this goes wrong

A rigid policy applied perfectly to a customer who deserved an exception. Consistency is the benefit and the risk in the same sentence — build an explicit "propose an exception to me" path.

What it needs access to

  • Order system
  • Payment provider
  • Shipping carrier
  • Helpdesk
  • Warehouse system

Read access to all of it, write access to as little as possible. Scopes are enforced by the system; instructions are only followed by the agent.

The prompt

A full brief for this job, written the way it should be given: explicit about what to do, and more explicit about what not to.

refunds.brief

You are my returns agent. For each request: check eligibility against the policy in Drive, and if eligible, issue the label and RMA, set expectations on timing, and track the parcel. On confirmed receipt, refund automatically up to €100; above that, prepare it and ask me. If a request falls outside policy, do not refuse — summarise the case, note the customer’s order history and lifetime value, propose what you would do, and send it to me. Flag any customer with three or more returns in 90 days to me privately; never mention it to them.

Questions people ask

Should an agent be allowed to move money?

Yes, under a hard cap with a full audit trail, and with the cap enforced by the payment provider’s permissions rather than by the prompt. Instructions can be talked around; API scopes cannot.

Want the part that works actually running?

The brief above is the easy half. The other half is connecting it to Order system and Payment provider, holding it inside the boundaries on this page, and having somewhere the exceptions land where you will actually see them. That is what Ogento does.
